Position Summary
The Executive Director provides leadership and oversight for the Great Falls Theatre Company’s (GFTC) administrative, financial, fundraising, production, educational, and community engagement activities. Working closely with the Board of Directors, volunteers, production teams, and community partners, the Executive Director ensures the organization’s programs and operations are effectively planned, coordinated, and carried out.

Great Falls Theatre Company (GFTC) is a nonprofit community theatre founded in 2021 to bring high-quality, accessible live theatre to the Great Falls community. GFTC serves community members of all ages and abilities through theatrical productions, education, mentorship, and opportunities to participate both onstage and backstage. Requirements
Administration
- Maintain the organization’s master calendar, including board meetings, production timelines, organizational deadlines, events, and other key tasks and activities.
- Manage receipt and reimbursement processes, including maintaining required forms, reviewing submissions, and ensuring expenses follow established organizational policies and procedures.
- Coordinate required tax filings and other routine organizational compliance requirements, working with the Board and/or appropriate financial professionals as needed.
- Monitor and respond to customer inquiries through the organization’s general email inbox, ensuring questions and concerns are addressed promptly or directed to the appropriate person.
- Oversee box office administration, including management of season ticket sales, individual ticket sales, season sponsor benefits, customer information, and related communications.
- Oversee the promotion and marketing of theatre productions and organizational initiatives in partnership with the marketing team, volunteers, and other stakeholders.
- Manage and maintain the organization’s website, ensuring information is accurate and regularly updated in partnership with the webmaster.
- Assist with the development of the annual operating budget and provide regular budget updates and financial information to the Board of Directors.
Fundraising & Development
- In collaboration with the Board of Directors, maintain and manage ongoing fundraising campaigns, and develop and implement new campaigns to support the organization’s financial sustainability and growth.
- Research, identify, and apply for new and existing grant opportunities aligned with the organization’s programs, mission, and funding priorities.
- Develop and maintain strong relationships with and expansion of corporate sponsors and individual donors through regular communication, engagement, stewardship, and recognition.
- Develop and maintain an accurate and organized donor database/CRM, including donor contact information, giving history, sponsorships, communications, and other relevant relationship information.
- Track fundraising activities, campaigns, sponsorships, grants, and donor engagement to support organizational goals and reporting.
Productions
- Work collaboratively with the Board of Directors or the Play Selection Committee to oversee and support the play selection process for each season, including timelines, research, recommendations, and final selections.
- Manage licensing and royalty requirements for selected productions, including securing performance rights, signing contracts, and ensuring royalty fees are paid in a timely manner.
- Support directors, designers, production staff, and production teams throughout the planning, rehearsal, and performance process.
- Assist with recruiting, coordinating, and training volunteers for production and backstage roles.
- Attend all performances and oversee box office operations during performances, including ticketing, customer service, seating-related needs, and coordination with box office volunteers.
- Ensure box office procedures are clearly communicated and followed by staff and volunteers.
- Monitor ticket sales and attendance throughout the production run and communicate relevant information to the Board and production teams.
- Ensure warehouse space is organized, maintained, and inventoried following each show.
Education, Programing, and Community Relations
- Serve as the primary liaison and public representative of the theatre company with local media, patrons, community members, and the general public.
- Build and maintain positive relationships with community partners, schools, organizations, and other community stakeholders.
- Assist with the selection, hiring, and onboarding of the Youth Summer Camp Director.
- Support and coordinate the theatre’s mentoring initiatives, including connecting experienced volunteers and theatre professionals with participants.
- Assist with the development and coordination of educational classes, workshops, and other programming.
- Coordinate class offerings, scheduling, registration needs, and communication in partnership with instructors and volunteers.
- Identify opportunities to expand educational programming and strengthen the theatre company’s connection with the community.
Board Facilitation
- Attend and actively participate in monthly Board of Directors meetings.
- Provide input and support in the development of the annual operating budget and show-specific production budgets.
- Keep the Board informed of organizational activities, financial performance, production updates, and emerging needs.
- Encourage and motivate Board member participation in organizational activities, fundraising, community engagement, and volunteer opportunities.
- Meet with Board committees as requested to provide support, information, and organizational coordination.
- Support the Board in carrying out its governance responsibilities and ensure organizational activities remain aligned with the theatre company’s mission, goals, and strategic priorities.
Qualifications
Required
- Demonstrated experience in theatre, arts administration, nonprofit organizations, or a related field.
- Strong organizational and time-management skills, with the ability to manage multiple projects, deadlines, and priorities.
- Experience working with volunteers and collaborating with diverse groups of people.
- Strong written and verbal communication skills, including the ability to communicate professionally with patrons, donors, sponsors, media, and community partners.
- Ability to manage basic budgets, financial records, and administrative processes.
- Ability to work collaboratively with a Board of Directors, committees, production teams, and community partners.
- Strong interpersonal skills and a commitment to creating a welcoming, inclusive, and positive theatre environment.
- Ability to attend evening and weekend meetings, rehearsals, performances, and organizational events as needed.
- Proficiency with common office, email, calendar, and digital communication tools.
Preferred
- Previous experience in a leadership or management role within a theatre, performing arts organization, or nonprofit.
- Experience with fundraising, grant writing, corporate sponsorships, and/or donor relations.
- Experience with ticketing, box office operations, season subscriptions, or theatre patron services.
- Experience with nonprofit budgeting, financial reporting, or organizational planning.
- Familiarity with theatre production processes, licensing, royalties, and production management.
- Experience developing or coordinating educational, youth, or community arts programming.
- Experience with donor databases/CRM systems, website management, social media, or marketing.
- Established relationships with local arts, business, education, media, or community organizations.
- Bachelor’s degree in theatre, arts administration, nonprofit management, business, communications, or a related field, or equivalent professional experience.
Availability
Must live in or within a reasonable commuting distance of Great Falls, Montana.
This is a primarily remote position; GFTC does not maintain a dedicated office. Work will be completed remotely with in-person commitments as needed.
Maintain regular working hours during common business hours to ensure availability to patrons, volunteers, Board members, community partners, and other stakeholders.
Attend monthly evening Board of Directors meetings and other Board or committee meetings as needed.
Attend rehearsals, performances, and other production-related activities, which may require evening and occasional weekend availability.
Maintain flexibility in scheduling during production periods, when organizational needs may require additional evening or weekend hours.
