Keep complete, detailed and accurate records of the receipts and expenditures of the Umbrella and Village Associations.

Prepare accurate and timely financial statements for all associations.

Oversee all necessary Accounts Payable and Receivable procedures, including maintenance of automatic deduction program.

Closely monitor all delinquencies and work to promptly recover past due sums including attorney fees and costs.

Serve as official resource on all questions of accounting practices, and on resolution of related problems with any outside party for account and financial services for Providence Point.

Understand all taxes paid by Umbrella and Village Association, follow changes, and report such information as is important.

Provide training and ongoing counsel for incoming Umbrella and Village officers and boards regarding financial policies and practices.

Represent homeowners as their ombudsman in any problems with the Association Board or outside parties involving community financial matters.

Act as primary liaison w/corporate bank(s). Monitor interest rates and ensure financial and investing arrangements are kept current and favorable. Invest Reserve funds as directed by the various Boards of Directors in FDIC insured instruments. Provide a monthly report detailing the bank reconciliation for all accounts.

Assist the Umbrella and Village Treasurers, Committee Chairs, and Property Management staff in the creation and approval of the annual budgets.

Input budget information into the appropriate village spreadsheets for the annual monthly assessment mailing. Create the annual monthly assessment letters for Administration Department to prepare and mail.

Consult with the Umbrella President and Village Presidents and then create the Budget Ratification Meeting packets for the 7 villages and Umbrella. Provide guidance on process and procedures.

Attend all Budget & Finance Committee meetings as an ex-officio member.

Monitor any variances monthly and report them to the Budget & Finance Committee and Umbrella Treasurer.

Supervise the Accounting staff.

Recommend changes in size and composition of staff.

Annually, or more frequently as appropriate, evaluate the performance of the Accounting Department personnel and review that evaluation with each employee and the Community Manager.

Recommend changes in job descriptions for this position and other employees of this department.

Ensure procedure manuals are created and maintained for all accounting positions.

Prepare and coordinate the timely provision of essential accounting information required and requested by officially designated outside auditors. Consider any recommendations made by Association Auditors and discuss these recommendations with the appropriate Treasurers to determine if changes should be implemented.

Oversee the process to provide all necessary information to outside entities regarding, but not limited to, the following: Resale certificates, pending sales, home refinances, and certificates of insurance on behalf of the Associations.

Maintain a procedures manual for all standard and unique tasks for this position.

Develop and maintain an accounting procedures / processes manual.


Bachelor's Degree in Accounting or Finance

At least 10 years General Accounting experience (in an office setting), with focus on Property Management or Condo/Homeowner Association Management

Ability to manage the accuracy and productivity of day-to-day activities of accounts payable, cash disbursements, invoicing/billing, customer accounts and collections, payroll, and general accounting

Experience in management of commercial banking relationships to facilitate an appropriate interest income and banking fees structures for all Associations.

Ability to analyze financial data and prepare financial reports, statements, and projections with respect to surplus, trends, costs and compliance with budgets. Issuing regular status and ad-hoc reports. Effective and persuasive presentation skills on controversial or complex topics to Management, Boards and Owners.

Advanced skills with MS Office (Excel, Word, Outlook, PowerPoint)

Software experience in Appfolio is a huge plus, but not required.

Experience with audit coordination and representing a company to outside agencies, auditors, and general public.

Advanced skills with custom and automated financial accounting systems software, especially those related to property management.'
