About this position
The Executive Assistant serves as the operational backbone and strategic coordinator for the CEO and executive team. This role balances business operations with high-level executive support. This position will manage internal communications and support business units in a variety of ways to ensure our fully remote team (and vendors near and far) are efficiently integrating workflows. Simultaneously, this position will protect leadership’s time by directing complex calendars, managing vital stakeholder communications across a remote team, and supporting stakeholder and board relations to maximize overall organizational impact.
Core responsibilities
1. Executive Support and Team Coordination
Strategic Calendar Control: Manage complex scheduling across multiple time zones, scheduling virtual meeting requests, and optimize daily time allocation for executive leadership.
Stakeholder & Investor Liaison: Serve as a professional first point of contact for board members, key stakeholders, and external institutional partners.
Briefing & Presentation Prep: Synthesize operational data into executive briefings, draft correspondence, and assist with preparing critical high-level presentations.
Event & Travel Logistics: Organize remote board meetings and virtual webinars, and manage logistics and travel itineraries for occasional in-person stakeholder engagement events.
Board Support: Manage all remote Board Meetings and any Board Committees as needed, including but not limited to scheduling meetings, logistics, preparing and distribution of meeting materials, agendas, attendance records, minutes, coordinating orientation, onboarding, and recognition as needed, and communication with Board Members.
2. Business Operations & Digital Administration
Communications flow: Monitor physical mail (via online service), email, social media, Slack, virtual phone number and official social media channels to ensure messages reach the right parties in timely fashion.
Maintain and update group action items (via reviewing meeting agendas, attending meetings or reviewing meeting notes)
Support the Sales, Partner Success, Finance and HR teams as needed
Compile team updates into weekly and monthly reports
Core hours
Local Public is an all-remote, US-based organization. To ensure effective collaboration across all regions, all staff are expected to be available during the following daily core hours as part of their daily eight-hour shift:
Location: All applicants must reside, and be legally able to work, in the United States (all states considered)
Experience: 3+ years of experience managing business operations and/or providing high-level support within a structured organization (remote experience preferred).
Education: Bachelor’s degree or equivalent practical experience.
Technical Proficiency: Experience with CRM databases (e.g.: Hubspot), and asynchronous collaborative tools (e.g., Slack, Google Workspace), and comfortable with technology generally.
Core Competencies: Exceptional organizational and communication skills, and sharp attention to detail. Ability to handle multiple projects at once. Proven ability to work independently to accomplish goals and objectives within deadlines.
