Basic Purpose
Provides strategic and operational leadership for the company's corporate facilities and workplace support functions across owned and leased properties. This role is responsible for the effective utilization, planning, design, operation, maintenance, and continuous improvement of company facilities. Leads other administrative support services including mail room, copy services, and micromarkets in line with the company's goals and strategies.
Responsibilities
Essential Duties and Responsibilities Facility Management Leads the strategy, planning, and day-to-day management of owned and leased facilities, ensuring safe, reliable, efficient and well-maintained work environments in support of business operations.
Directs space planning and workplace utilization efforts, including occupancy planning, moves, adds, changes and alignment of facilities resources with business needs.
Oversees facility design, maintenance, repair, renovation, and capital improvement activities, including vendor coordination, contractor oversight and project execution.
Establishes and maintains preventive maintenance programs and service standards for building systems (mechanical, electrical, fire/life safety, plumbing and waste management), interiors, grounds, and common area.
Administers leased facilities and related landlord relationships, including lease obligations, site services, issue resolution and coordination of tenant improvements where applicable.
Physical Security Leads the company's physical security program including access control, visitor management, alarm and surveillance systems, incident response coordination and related security procedures.
Responsible for security systems and procedures for risk assessment of these systems. Ensures compliance obligations are met in support of critical infrastructure protection program requirements.
Plans and directs staff in identifying vulnerabilities, developing security plans and implementing mitigation strategies.
Ensures the monitoring of security systems are operational and routinely tested for deficiencies and are up to date on standards which includes periodic audits for maintenance.
Coordinates with local law enforcement agencies during emergencies to improve security measures.
Maintains accurate records of incidents and related reporting to appropriate agencies.
Partners with safety, legal, compliance, operations and information technology teams to support regulatory obligations and enterprise risk management.
Directs the planning, administrative and operations support for interiors and support services. Develops short- and long-range plans to meet the needs of the Company while implementing cost-effective service delivery solutions.
Develops service level expectations, performance metrics, and reporting to monitor service quality, utilization, costs and opportunities for continuous improvement.
Manages resource allocations for related areas of responsibility, including budget and personnel. Prepares, and manages operating and capital budgets; evaluates spending, contracts, and sourcing strategies; and identifies efficiencies while maintaining service, safety and compliance standards.
Leads, coaches and develops employees and third-party service providers; establishes clear expectations; and builds customer-focused, accountable and high-performing culture.
Represents the functions in regulatory proceedings, cross-functional planning efforts, executive updates, audits, inspections, and strategic initiatives affective corporate services.
Monitors and enforces all compliance requirements for area of responsibility.
Performs related duties as assigned.
Qualifications
Essential Education, Skills, and Environment Education and Work Experience Bachelor's degree in business, facilities management, construction management or a related field with 8 or more years of related experience in corporate services, facilities, property management, physical security, workplace services or related operations experience leading teams and vendors across multiple service lines.
Candidates that do not possess a bachelor's degree must have a minimum of 12 years of related experience in corporate services, facilities, property management, physical security, workplace services or related operations experience leading teams and vendors across multiple service lines.
Specialized Knowledge and Skills Demonstrated knowledge of:
Building operations, maintenance practices, workplace services, budgeting, contracting and applicable regulatory and safety requirements
Project planning and management
Security management practices and strategies
Skills such as:
Communication, project management, financial, and problem-solving
Listening and communicating effectively through oral and written means
Demonstrated ability to lead through change, manage competing priorities, and influence decisions across diverse stakeholder groups.
Equipment and Applications PCs, word processing, Excel spreadsheet, presentation software and Microsoft Office Suite.
Work Environment and Physical Demands General office environment. No special physical demands required. This position may require travel up to 25% to cover the geographical regions that the Company serves.
