Department: R&D
Reports to: CSO
Employment Type: Full-Time
FLSA Status: Exempt
Salary: $27 - $33.65/hour
POSITION SUMMARY:
Under direct supervision, the Project Coordinator is responsible for administering and organizing all project activities in cooperation with and under the direction of R&D, ensuring flawless execution of projects.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Serve as the primary point of contact for internal team, translating requirements and timelines for approved projects.
Collaborate with vendors to acquire component specifications and pricing while coordinating with Quality and Production teams to ensure all requirements are met.
Coordinate activities and resources with Procurement, Production, and Development teams.
Work closely with Accounting, Production, R&D, and Purchasing departments.
Maintain current client and pricing files.
Liaise with sales to identify and define project requirements, scope, and objectives.
Ensure that clients’ needs are met throughout the project lifecycle, adjusting and communicating timeline projections as necessary.
Report and escalate project issues to management as needed.
Collaborate with the CEO, Sales, and Site Director.
Utilize current project management tools to track project status and identify key tasks.
Establish, implement, and maintain process improvement practices and standards.
Ensure project documents are complete, current, and stored appropriately.
Communicate with Production about scheduling needs and task-related documents.
Assist with best-practice organizational development, process improvement, and project management methodologies.
Motivate teams to meet project deadlines, drive decision-making, and remove obstacles preventing project success.
Coordinate projects with the R&D Lab to track, maintain, and submit price quotes to clients.
Maintain familiarity with shipping policies and procedures.
Perform miscellaneous job duties as assigned by management
Requirements
EDUCATION & EXPERIENCE:
Education: Minimum of an associate’s degree required.
Experience: 3 to 5 years of experience working as a Project Coordinator.
SKILLS & KNOWLEDGE:
Proficiency in Microsoft Word, Excel, and Outlook.
Customer-centric mindset with a proactive, problem-solving attitude.
Strong attendance and punctuality.
Excellent written and verbal communication skills, with the ability to conduct professional and constructive discussions.
Experience in technical writing and product development processes is preferred.
Strong organizational and time-management skills.
Ability to prioritize multiple projects effectively.
Strong interpersonal skills and ability to work well within a team.
Dependable and capable of working under pressure.
Good judgment and problem-solving skills.
Ability to follow oral and written instructions quickly and methodically.
