Your new role
Front-of-House & Studio Coordination
- Provide a warm, professional first point of contact for all visitors
- Manage reception, incoming calls, and the studio inbox
- Maintain a safe, clean, and high-standard studio environment
- Coordinate meetings, room setups, Teams links, documentation, and AV requirements
- Oversee kitchen spaces, reception areas, and meeting room standards
- Manage studio supplies, subscriptions, vendor relationships, and IT access administration
- Support WHS administration and ensure accurate safety records
- Coordinate ad hoc administration requests (couriers, catering, binding, travel bookings)
- Organise repairs, maintenance, and studio events including EOFY, Christmas and team gatherings
- Assist with stakeholder events hosted onsite
- Update the Studio Hub and manage studio documentation and audits
- Coordinate onboarding and offboarding, including checklists and documentation
- Schedule probation reviews and annual performance review meetings
- Maintain accurate employee files and training registers
- Prepare templates, documents and support internal people processes
- Administer expenses in line with corporate credit card procedures
- Process company credit card and Uber expenses, ensuring accurate coding
- Enter accounts receivable and accounts payable data
- Allocate receipts against invoices
- Prepare asset allocation requests and support finance documentation
You will be a polished, proactive, and highly organised professional who enjoys being the go-to person in a dynamic environment.
You'll bring:
- 3+ years' experience in office coordination, administration, reception, or studio support
- Strong communication skills and confidence engaging with people at all levels
- High attention to detail and pride in presentation standards
- Strong Microsoft 365 skills, including Outlook, Teams, Excel, and SharePoint
- Ability to manage competing priorities and stay composed under pressure
- Experience supporting people processes and handling sensitive information
- Confidence supporting bookings, events, suppliers, and basic IT/AV troubleshooting
- Finance admin experience (AP/AR, expenses, invoice processing) highly regarded
