Position Summary:
The Human Resources Specialist is responsible for coordinating and administering all aspects of Family and Medical Leave Act (FMLA) requests, Catastrophic Leave Applications, and other leave related programs for employees across campus.
This position serves as a primary point of contact for leave guidance, ensures compliance with state and federal regulations, maintains accurate leave records, and provides responsive, confidential support to employees and supervisors. In addition to leave administration, the HR Specialist will perform a variety of general Human Resources functions to support daily operations within the department.
Duties & Responsibilities:
- Administer FMLA requests from initial inquiry through final determination, ensuring timely communication, documentation collection, and compliance with federal law
- Coordinate the processing of Catastrophic Leave Applications, including reviewing eligibility, gathering required documentation, and preparing submissions for committee or administrative Review
- Maintain accurate and confidential leave reports, tracking deadlines, usage, and return-to-work requirements
- Provide guidance to employees and supervisors regarding leave options, eligibility, rights, and responsibilities
- Review the leave without pay report and notify departments of university leave policies
- Review and provide final determination for employee physical fitness leave requests
- Conduct ADA interactive process to determine an appropriate reasonable accommodation for the employee
- Reviews professional development plan submissions from employees, provides final determination, and assists with the payout process
- Assist with general human resources functions, which may include onboarding, employee relations support, records management, benefits processing, and other operations tasks as assigned
- Maintain knowledge of applicable federal and state laws, university policies, and HR best practices
- Participate in HR projects, process improvement initiatives, and campus-wide HR support efforts
- Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of FMLA, ADA laws, Catastrophic Leave policies, and general HR practices
Ability to interpret federal and state regulations and apply them to leave decisions
Strong interpersonal and communication skills, with the ability to provide clear, empathetic, and confidential guidance
Strong attention to detail, organizational skills, and ability to manage multiple cases with varying deadlines
Skill in maintaining accurate records, documenting decisions, and handling sensitive information with discretion
Ability to work collaboratively with employees, supervisors, payroll, benefits, and campus partners
Problem-solving skills and the ability to analyze complex eligibility situations
Proficiency in HRIS systems, Microsoft Office, and electronic document management tools
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.

Minimum Qualifications:
The formal education equivalent of a Bachelor's Degree in Human Resources, Business Administration, or a related field
Experience working in Human Resources, preferably in leave administration, benefits, or employee support
Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
