The Donor Relations Associate plays a critical role in ensuring the institution fulfills its fiduciary and ethical responsibilities to its donors. This position is responsible for the full lifecycle of complex philanthropic funds, from drafting clear and executable gift agreements to monitoring fund utilization, and ultimately producing high-level impact and endowment reports.
The Donor Relations Associate adheres to the principles of ethics and standard practices as articulated in the Council for Advancement and Support of Education (CASE) Donor Bill of Rights, the Association of Professional Researchers for Advancement's (APRA) Statement of Ethics, and the Association of Fundraising Professionals' (AFP) Code of Ethical Principles and Standards as well as the standards of practice of their departmental profession, as appropriate. The Donor Relations Associate helps to ensure that the University adheres to these principles in its Advancement work.
This position reports to the Senior Supervising Director of the Binghamton Fund and Donor Relations.
Duties and Responsibilities:
Gift Agreements and Fund Establishment (25%)
Coordinates and prepares gift agreements and memorandums of understanding specifically for programmatic support, faculty support, and professorships.
Collaborates with frontline fundraisers and development leadership to ensure gift terms are legally sound, institutionally executable, and accurately reflect the donor's intent.
Translates gift agreement terms into actionable, easily understood guidelines for fund administrators, faculty and staff through kickoff meetings and other communications.
Fund Compliance and Utilization (25%)
Serves as a primary resource for campus partners regarding questions on annual distribution of spending plan allocations, donor intent, and fund restrictions for assigned funds.
Manages the tracking and fund utilization for programmatic support as well as support for faculty and professorships through established systems and software to ensure fund compliance with donor restrictions.
Partners with frontline fundraisers and campus partners to identify unspent or underutilized funds and strategize solutions to activate these funds.
Endowment and Impact Reporting (25%)
Project manages the annual endowment reporting process for assigned funds (programmatic, faculty support, and professorships), in collaboration with the Donor Relations & Stewardship team, ensuring donors receive accurate financial data and compelling narratives on their impact.
Reaches out to campus contacts for assigned funds to gather stories on how philanthropic funding has advanced their research, teaching, and programs. Review, edit, and format summary submissions into impact story templates.
Coordinates custom stewardship plans for donors of key programmatic initiatives and faculty funds.
Assists with story idea generation for the Foundation's Annual Report, magazine ads, website, donor newsletters, gift announcements and donor profiles, particularly as reports come in from departments and areas of campus on the impactful use of donor funds.
Named Facilities and Spaces (15%)
Coordinates and prepares naming agreements for named spaces on campus in collaboration with frontline fundraisers and the Senior Supervising Director of the Binghamton Fund and Donor Relations as assigned.
Maintains a comprehensive, up-to-date inventory of all named facilities, rooms, and physical spaces across campus.
Monitors renovations or building updates to ensure existing named spaces are preserved, relocated, or re-named in accordance with original gift agreements and institutional policies.
Departmental Operations (10%)
Serves as an integral member to the Office of Donor Relations and Stewardship by helping to develop the annual activities timeline in addition to providing input into the budget. Assists with producing the agenda for the Donor Relations and Stewardship team meetings.
Assists in events that celebrate donor impact on campus priorities (e.g. donor recognition societies events and facility naming receptions).
Other duties, as assigned, as related to the primary function of the Office of Donor Relations and Stewardship.

Bachelor's degree required.
At least five years of successful experience in a managerial role, preferably in a higher educational setting. Strong preference for experience in an Advancement division or organization.
Highly organized, self-starter, detail-oriented and able to work independently and provide prompt follow through.
Strong project management skills.
Ability to work successfully in a collegial setting, effectively interacting with other staff members.
Excellent interpersonal skills and ability to interact positively with donors, volunteers and other constituencies.
Ability to work effectively with sensitive and confidential information.
Strong writing skills, with preference for experience writing donor stewardship and gratitude pieces in line with industry best practices.
Proficient in computer skills and relevant software, specifically all applications of Microsoft Office, especially Microsoft Excel, and ability to learn new programs.
