About PPA
Founded in 1933, PPA is a statewide membership organization serving more than 3,000 psychologists and students across Pennsylvania. The organization also supports affiliated entities, including the Pennsylvania Psychological Foundation (PPF) and PennPsyPAC.
Position Overview
The Administrative Coordinator plays a vital role in supporting the organization's day-to-day operations. Reporting directly to the Executive Director, this position serves as a key point of contact for staff, members, vendors, and leadership, helping ensure that administrative, operational, and financial processes run smoothly and efficiently.
Key Responsibilities
Provide administrative support to staff, leadership, and volunteers, including scheduling and meeting coordination.
Serve as a primary point of contact for members, assisting with inquiries, renewals, and engagement.
Maintain and update membership and financial records using systems such as NOVI, PATH, and QuickBooks
Support office operations, including supplies, facilities coordination, and welcoming visitors.
Assist with board meetings, conferences, and educational events (virtual and in-person)
Process invoices, payments, and basic financial records; support reconciliations and reporting.
Coordinate with vendors, IT services, and external partners.
Assist with compliance tracking and reporting requirements with the Commonwealth of PA, including ACT 31, ACT 48, and the PAC.
Help maintain an organized, welcoming, and efficient office environment.
Qualifications
Associate degree or certificate in Business, Administrative Support, or related field
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Experience with QuickBooks or similar accounting software preferred.
Ability to manage multiple priorities and work independently and collaboratively.
Professionalism, discretion, and a positive, can-do attitude
