Preferred Qualifications Position Summary
K-12 Assessment Solutions is seeking an Administrative Specialist to provide comprehensive, detail-oriented support across all aspects of assessment development, project management, human resources, business and finance, professional learning, and sales/marketing. This role is essential to ensuring smooth operations, consistent communication, and efficient processes that drive the success of K-12 Assessment Solutions' projects and initiatives.
Knowledge, Skills, Abilities and/or Competencies
- Bachelor's or Associate's degree preferred; equivalent combination of education and experience considered
- Exceptional organizational and project management skills with strong attention to detail.
- Proven ability to work independently, anticipate needs, and take initiative.
- Proficiency with Microsoft Office Suite, MS Teams, and related collaboration tools.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy.
- Strong written and verbal communication skills.
This position is primarily office-based and involves extended computer use, as well as occasional light lifting of boxes and supplies (up to 25 lbs).

Project Coordination and Development Support
- Lead preparation activities for new projects, including beginning-of-year (BOY) setup and planning.
- Establish and maintain project tracking systems and collaborative workspaces (e.g., MS Teams).
- Provide comprehensive support for item development processes by:
- Preparing meeting agendas and documenting outcomes, including action items.
- Assigning tasks and monitoring progress through dashboards and trackers.
- Designing and maintaining project forms and documentation tools.
- Managing blueprint documentation and final posting procedures.
- Coordinate logistics and scheduling for assessment audits and related activities
Administrative, Financial, and Operational Support
- Manage financial tracking for sponsored project accounts, including:
- Processing check requests, budget amendments, journal vouchers, and payroll documentation.
- Coordinating travel, operating expenses, requisitions, and payment requests.
- Maintain monthly position funding records and assist with payroll reconciliation.
- Support inventory control and asset management processes.
- Contribute to process improvement by:
- Developing and updating standard operating procedures (SOPs).
- Participating in evaluations of administrative efficiency and quality.
Professional Learning and Staff Development
- Assist in the development and organization of professional learning materials and evaluation reports.
- Compile and synthesize feedback from professional development sessions to inform future planning.
- Support staff training initiatives, including:
- Monthly development sessions (e.g., book studies, tool demonstrations).
- Onboarding and training for item writers.
- Coordination of conferences, newsletters, and retraining efforts.
Human Resources Support
- Facilitate HR-related processes such as application reviews and hiring documentation.
- Maintain and update item writer records, including onboarding, terminations, and role changes.
- Monitor and track annual compliance requirements (e.g., ethics training, mandatory courses).
Communications and Marketing Support
- Assist with updates to the organizational website, including layout and visual content coordination.
- Support the creation and distribution of promotional and informational materials.
- Maintain and update client databases to ensure accurate and timely communication.
