Our client, a leading Chinese securities firm in Hong Kong, is strengthening its Administration Office and seeks two hands-on professionals. Both roles require a strong understanding of mainland corporate culture, exceptional Chinese business writing skills, and the ability to drive execution in a fast-paced, cross-functional environment. If you are proactive, detail-oriented, and thrive in a bilingual setting.Position 1: Corporate Governance Officer (Associate - VP)
Key Responsibilities:
- Manage the full lifecycle of board, shareholder, and executive committee meetings - including scheduling, logistics, minute-taking (in Mandarin), and resolution follow-up - to ensure efficient and compliant decision-making.
- Maintain and enhance key governance documents such as the company constitution, committee terms of reference, delegation of authority matrices, and internal control policies covering seals, licenses, and archives.
- Coordinate governance procedures for major corporate matters, ensuring full alignment with regulatory and internal requirements.
- Serve as the primary point of contact with the external corporate secretary; oversee corporate secretarial functions to ensure compliance with the Hong Kong Companies Ordinance and timely filings.
- Manage equity-related matters for Hong Kong and overseas subsidiaries, including board appointments and structural changes.
- Act as the coordination hub with the parent company: handle official document circulation, track major matter reporting and approval processes, and ensure closed-loop information flow.
- Provide organizational support to the Executive Committee, including meeting services, safeguarding resolutions, and tracking deliverables.
Qualifications & Requirements:
- Bachelor's degree or above in Law, Business Administration, or a related discipline. A legal background (e.g., LLB, lawyer qualification) is highly preferred given the frequent need to draft or revise governance documents such as authority delegations.
- Minimum 3 years of relevant experience, ideally within a Chinese financial institution or a state-owned enterprise's board office/administration office.
- Excellent Mandarin and English communication skills, with native-level Chinese business writing for meeting minutes, official correspondence, and policy drafting.
- Deep understanding of mainland corporate culture, decision-making hierarchies, and cross-border coordination within Chinese financial groups.
- Strong sense of responsibility, integrity, and time management; able to juggle multiple meeting cycles and competing deadlines seamlessly.
Position 2: Strategy & Business Management Officer (Associate - VP)
This is a hands-on execution role focused on strategic coordination and management reporting, not pure strategic research or investment analysis.
Key Responsibilities:
- Monitor the implementation of corporate strategy; conduct periodic reviews and evaluations, and recommend actionable improvements to leadership.
- Lead strategic research, planning, and decision-support initiatives, translating analysis into clear Chinese management reports and board-level presentations.
- Support strategic M&A initiatives, including due diligence coordination, resource integration, and post-deal implementation tracking.
- Prepare high-quality management reports, strategic reviews, and comprehensive corporate documentation with precision and clarity.
- Manage cross-functional coordination tasks and drive day-to-day operational efficiency within the Administration Office.
- Leverage advanced PowerPoint, Excel, and relevant AI tools to deliver impactful, data-driven reports under tight deadlines.
Qualifications & Requirements:
- Bachelor's degree or above from in Economics, Finance, Accounting, Business Administration, or a related field, with a strong academic record.
- Fluency in both Mandarin and English is essential, with exceptional Chinese business writing skills for strategic reports and executive summaries.
- Self-starter with a genuine passion for research, synthesis, and business writing.
- Solid financial analysis capabilities; CPA or CFA designation is preferred.
- Proven project management skills, with the ability to drive initiatives across departments and manage multiple parallel workstreams.
- Advanced proficiency in PowerPoint, Excel, and emerging AI productivity tools.
- Detail-oriented, highly responsible, and a strong team player. Comfortable working under pressure and adapting to shifting priorities.
- Prior exposure to a Chinese securities firm or financial group is advantageous.
